Before you subscribe, gather your certificate of insurance, your OSHA injury and illness records, your EMR documentation, your written safety programs and your training records. All three platforms collect some version of these items.[1][2][4][9] The exact list you will be graded on comes from your hiring client, not the platform.[2][10] Having these documents in one folder before you pay for a subscription keeps the setup from stalling.
What do the platforms actually collect?
ISNetworld® says contractors submit health, safety, quality, insurance and training information, such as safety statistics, written programs and training documentation.[2] ISN® also lists insurance certificates, workers' compensation documents and incident and injury forms among the documents it collects.[1] Avetta® says it collects, verifies and monitors safety qualifications, programs and practices, and reviews health and safety policies, procedures and training documents.[4] Veriforce® tells contractors they will upload training records, safety programs, JSAs, MSAs, insurance certificates and more.[9] In each case, your hiring client's settings decide which items apply to you.[2][5]
The checklist
Company information
- ☐ Legal company name, matching on every document. ISN®'s review team checks the consistency of names and titles on submitted documents.[3]
- ☐ NAICS code(s) for the work you perform. ISN® checks the NAICS code you report against your OSHA recordkeeping documents.[3] Some hiring clients compare your injury rates to the rate for your NAICS code.[11]
- ☐ State contracting license(s), if your trade requires one. ISN® checks state contracting license status against what you provide and against regulatory or industry data.[3]
- ☐ Your OSHA citation history. ISN® pulls citation and enforcement information from public databases, so know what is on your record before a reviewer finds it.[3] Some hiring clients set limits, such as no willful or serious citations in the last three years.[11]
Insurance
- ☐ A current certificate of insurance (COI) for each required policy. ISN®, Avetta® and Veriforce® all collect insurance certificates.[1][5][9]
- ☐ Workers' compensation documents. ISN® names these separately from insurance certificates.[1]
- ☐ Your hiring client's insurance requirements, in writing. ISN® checks insurance documents against the hiring client's requirements, including policy limits, insured parties, deductibles, carrier ratings and policy dates.[3] Avetta®'s specialists review policy limits, endorsements and wording against the client's requirements.[5]
- ☐ Your insurance agent's contact information. Avetta® says brokers and agents can upload and manage insurance details directly in the platform.[5]
Safety statistics
- ☐ OSHA 300 Logs and 300A Summaries. ISN® checks injury and illness data, work hours and NAICS code against your OSHA recordkeeping documents.[3] Alliant Energy, an ISNetworld® hiring client, says it uses the platform to track and verify contractors' OSHA forms.[12]
- ☐ Enough years of logs to cover your hiring client's look-back. Some hiring clients score three-year averages; Entergy's Avetta® guide sets limits on the latest three-year average TRIR and DART rates.[11] You are required to keep the 300 Log and annual summary for five years after the end of the year they cover, so the older years should already be on file.[13]
- ☐ Total hours worked for each year. The 300A annual summary must include total hours worked and the annual average number of employees.[13]
- ☐ A signed 300A. A company executive must certify the annual summary.[13]
- ☐ EMR documentation. ISN® reviews experience modifiers using the documentation you submit.[3] Alliant Energy says ISNetworld® tracks and verifies contractors' current EMR.[12] Entergy requires a latest-year EMR of 1.0 or lower.[11]
If you had 10 or fewer employees at all times last year, you may be partially exempt from keeping OSHA logs.[14] Some industries are also partially exempt.[14] Have that answer ready, because a hiring client form will still ask.
Written safety programs
- ☐ Your written health, safety and environmental programs. ISN® collects and reviews written programs and gives guidance on compliance with regulatory and hiring client requirements.[1][3] Avetta® says a professional auditor validates every contractor safety program and manual.[4] Alliant Energy asks contractors to submit copies of their written HSE program to ISNetworld®.[12]
- ☐ Supporting documents. ISN® reviews items such as inspection checklists, work permits and hazard analyses for details like company name and completion date.[3] Veriforce® lists JSAs among the documents contractors upload.[9]
Training records
- ☐ Sign-in sheets, rosters and computer-based training reports. ISN® checks these for training name, employee signature, date and instructor.[3]
- ☐ Training certificates, competency assessments and training IDs. ISN® checks these for course name, signature and issue or expiration date.[3]
- ☐ A list of employees and their qualifications. Avetta® verifies and tracks worker qualifications, certifications and training.[4] ISNetworld® tracks employee-level training, competencies and qualifications.[1]
Drug and alcohol / DOT items (if applicable)
- ☐ Your drug and alcohol program and testing records. ISN® has listed drug and alcohol and background checks among the items its review team verifies.[15]
- ☐ Whether your employees perform DOT-covered tasks. Veriforce®'s sign-up form asks this question.[10] Its Operator Qualification subscription covers evaluations, drug and alcohol, and safety and pipeline training.[9]
Who will own the account
- ☐ One named person in your office. Pick someone who can collect documents, answer questionnaires and respond to reviewer feedback.
- ☐ A plan for expirations. Avetta® sends alerts to suppliers about upcoming insurance expirations or lapses.[5] Someone has to act on those alerts, or your status can slip.
Platform-specific notes
ISNetworld®. Information you enter once can be viewed by all your ISN® hiring clients.[2] ISN®'s review team checks documents against regulatory and hiring client requirements.[3] For U.S. contractors, that includes your experience modifier and your OSHA injury, illness and hours data.[3] ISN® can also assess how some written programs are put into practice, using training records, supporting documents and interviews.[3]
Avetta®. Avetta® hiring client pages describe the steps as registering, completing prequalification forms, uploading safety program documentation and your certificate of insurance, and answering audit questions.[8] The goal is a "Complete" status.[6][8] Avetta® also reviews training logs and employee manuals during audits.[6]
Veriforce®. Veriforce® subscriptions include a standardized digital questionnaire.[9] You start by choosing the hiring client that referred you, or a product if you have no referral.[10] The sign-up form asks whether any work will be done outside the U.S.[10]
Frequently asked questions
How long does setup take?
One Avetta® hiring client page says registration takes 5 to 10 minutes.[7] That covers sign-up only. Full setup depends on how complete your documents are and on your hiring client's requirements.
Do I need three years of OSHA logs?
None of the three platforms' public pages state a fixed number of years. Some hiring clients use three-year averages, so check your client's requirements.[11] Because OSHA requires five years of retention, you should already have them.[13]
What if my COI does not match my client's requirements?
Reviewers compare your insurance to the hiring client's requirements, so a mismatch can hold you back.[3][5] Send the client's requirements to your agent before you upload.
Do I need a consultant to get set up?
No. Many contractors complete setup on their own. A consultant is optional and mostly saves time if your programs or records need work.
